Who we are
Royal Oaks Pharmacy is a community pharmacy at 101-11745 105 St, Grande Prairie, AB T8V 8L1, operated by 2455528 Alberta Ltd. and licensed by the Alberta College of Pharmacy. This policy covers our pharmacy services and this website, including online booking of vaccines, pharmacist consultations and tests.
As a pharmacy, we are a custodian under Alberta’s Health Information Act (HIA), which governs the health information we collect to care for you. Other personal information is protected under Alberta’s Personal Information Protection Act (PIPA). Our pharmacists also follow the Alberta College of Pharmacy’s standards on confidentiality.
Information we collect
When you use our pharmacy services
To provide safe care, we collect information such as your name, contact details, date of birth, Alberta Personal Health Card number, prescriptions and medication history, allergies, insurance details, and information needed for assessments, vaccines or prescribing. We collect it from you, from your prescribers and other healthcare providers, and from Alberta Netcare, as the HIA permits. We collect only what we need.
When you contact us
If you call or email us, we use your contact details and message to respond. Email is not a secure way to send health information, so please call or visit us with health questions.
Online booking
Our booking forms are designed to collect as little as possible:
- Vaccine appointments: for each person being vaccinated, first name, last name, age and the vaccines chosen.
- Pharmacist consultations and tests: your first name, last name and age, the type of consultation or test, and, for travel consultations, your departure date.
- A short note (consultations only): what you would like help with, your symptoms, or your destination. You choose what to write. Please do not include health card numbers or detailed medical history; we go through everything in person.
- For the main contact (the person making the booking): one phone number and one email address.
- The appointment date and time.
We do not ask for dates of birth, health card numbers or medication lists online. Anything you type in the note is health information and is protected under the HIA in the same way as your pharmacy record. If you book for family members, please make sure they agree to you sharing their name and age with us. A parent or guardian can book for a child.
Our pharmacist confirms eligibility in person at your appointment. Information shared then becomes part of your pharmacy record and is handled as described above.
How we use information
- To provide pharmacy care: filling prescriptions, giving vaccines, consultations, tests, assessments, prescribing and follow-up.
- To schedule your appointments and to send booking confirmations, a reminder the day before, and messages about changes to your appointment.
- To bill you, your insurer or Alberta Health for services.
- To meet legal and professional requirements, such as recording vaccines given and reporting them to Alberta Health.
We do not sell your information, and we do not use it for marketing without your consent.
When we share information
- With your care team: for example, your doctor or nurse practitioner, as needed for your care and as the HIA allows.
- With Alberta Health and Alberta Netcare when required by law, such as immunization records and dispensing records.
- With insurers to process claims for your prescriptions and services.
- With service providers who help us run this website, under agreements that require them to protect your information and use it only for our purposes:
- Cloudflare hosts our website and stores online booking records.
- Brevo sends booking confirmation and reminder emails.
- When required or permitted by law, for example in response to a court order.
To refill prescriptions online, we link to PharmaConnect, a separate service connected to our pharmacy system. Information you enter there is governed by PharmaConnect’s own privacy policy.
Cookies and website data
Our website does not use advertising or tracking cookies, and we do not show ads. To understand how the site is used, we use Cloudflare Web Analytics, which counts page visits without cookies and without identifying individual visitors. Our hosting provider may set strictly necessary cookies to protect the site from abuse and may briefly process technical information, such as your IP address and browser type, for security. We do not use this information to identify you.
The private link in your booking email lets you view or cancel your appointment. Please don’t share it.
How long we keep information
- Online booking records are deleted automatically 90 days after the appointment.
- Pharmacy health records are kept for the period required by the Alberta College of Pharmacy and Alberta law, then securely destroyed.
- Emails are kept only as long as needed to respond or as required for your record.
How we protect information
We use reasonable administrative, technical and physical safeguards. Our website uses encrypted connections (HTTPS). Online booking records are available only to authorized pharmacy staff on a password-protected page, and staff are bound by confidentiality obligations. If a privacy breach creates a risk of harm, we will notify you and the Office of the Information and Privacy Commissioner of Alberta as the HIA requires.
Your choices and rights
- Access and correction: you can ask to see the information we hold about you and to correct it.
- Booking without the website: you can always book by phone or in person instead of online.
- Cancel or withdraw: you can cancel an online booking at any time with the link in your email, and ask us to delete your booking record before the automatic deletion date.
- Questions about how your information is used are always welcome.
